This article gives an overview of what a onboarding or implementation process looks like.
Timeline
The onboarding phase will take between 8 to 12 weeks, although this depends on the complexity of the project and the number of stakeholders involved.
Kick-off call
After the contract has been signed, one of Presspage's Implementation Specialists will schedule a kick-off call. The goal of this call is to give insights in the onboarding process, manage expectations and give clarity on the tasks and milestones.
What we require from you is the following. Having this information ready before the Kick off or Discoverly call helps during the Implementation process and meetings:
- A live reference website, for example your corporate website. In addition, brand guidelines or a design file can be useful - depending on the package.
- Available resources/stakeholders (IT, Spokesperson(s), Corporate Comms. Team etc) throughout the onboarding to provide feedback, give input, help with the technical set-up and attend training sessions.
Discovery call
After your kick-off, a discovery call is scheduled to align on the key elements for your new Newsroom. To make the process more efficient, it helps if you come prepared to discuss the following topics:
- What you like about your current Newsroom and what you would like to change
- The type of header and footer you prefer (see Newsroom template section below)
- Best practices for building a modular Newsroom with Presspage
- How your Newsroom will function within the wider business, and how to organize content to support this purpose
- Selecting and organizing modules that fit your needs and goals
- Other newsroom examples you like, and what specifically appeals to you about them (e.g., layout, structure, navigation, or content presentation)”
Newsroom template
Our Implementation Specialists collaborate with the Presspage development team to create a newsroom template that aligns with your goals and brand guidelines. The level of customisation depends on your package.
An important early decision in this process is selecting the type of newsroom header and footer, as this choice is needed to finalize the newsroom design. The available options are:
- Dynamic SSI header and footer
- Static header and footer
- Stripped header and footer
As part of the process, Premium packages include two feedback rounds, while Enterprise packages include three.
Integration into your website
Integration of the company domain and Presspage platform (URL Integration)
A crucial milestone within the onboarding is the URL integration of the newsroom with your main website. Your IT department will be needed to help with the integration. There are two options:
- Subdomain integration (e.g. newsroom.example.com)
- Subfolder integration (e.g. example.com/newsroom)
For Email it is also possible to set up a Custom sending domain.
SSL certificate
In case of a subdomain integration, Presspage can install a free, auto-renewing Let’s Encrypt SSL certificate. It’s also possible to supply an SSL certificate of your own.
Cookies
Presspage offers a default cookie notification, but you can also integrate your own. Below are the available options and what to keep in mind:
- Use the Presspage Cookie Notification
- Supports two states, accept or decline.
- Customize the Presspage Notification
- Adjust the design and text to match your website’s branding; the underlying system still functions with the two states.
- Integrate Your Website’s Cookie Notification
- Visitors will only need to provide consent once. To enable this, provide us with your complete cookie scripts and styling details.
Multi-Factor Authtentication (MFA) and Single Sign-On (SSO)
For security it is mandatory for all users of the platform to use MFA or SSO to log into Presspage.
MFA is set-up by default when logging in. It adds an extra layer of protection by requiring not just a password, but also a time-based code generated through an authenticator app.
SSO integration is also possible. It allows users to log in to Presspage using their organization’s identity provider, so they only need one set of credentials to access multiple platforms securely.
Content Migration
The data migration from your current environment to the Presspage platform is an important milestone if you have lots of historic content that needs to be transferred. Your current provider or your IT department should be able to help you provide this RSS feed.
Presspage Academy
For the user training, go to Presspage Academy and use resources available:
- Knowledge Base, detailed product documentation
- Get Started, guided introductions for new users
- Video Library, quick, practical tutorials covering the full core workflows
- Training Webinars, instructor led guided walkthroughs of the platform
- A customised instructor led training can also be provided. Implementation will plan this accordingly.
Go Live phase
The go live phase finalizes your newsroom launch. You and your Implementation Specialist agree on a launch date, prepare redirects, update links and replace any remaining staging items. After launch you monitor the newsroom for two weeks to catch potential issues, share feedback and request adjustments. When everything is stable, the project is handed over and future questions go to Customer Support.
