If you're unable to log in to your account, and you can't find Presspage in your Authenticator app (or if you have a new phone), users with Administrator rights can reset MFA for your account. 

This can be done as follows:

1. Go to Admin Settings > Users
2. Click on 'edit' next to the user you want to reset MFA for:
   
3. In the top right corner, click on the 'Reset MFA' button:
   

After MFA has been reset for this specific user, it will show a QR code the next time they try to log back in. This QR-code can be scanned with the Authenticator app to regain access.

As of September 2021, multi-factor authentication has been made mandatory for all Presspage users. If you haven't already set up MFA for your account, you will be presented with a QR code after you try to log in.

Make sure you have downloaded and opened an authentication app, such as Google Authenticator (Android, iOS) or Authy (Android, iOS). Microsoft Authenticator and Duo are also supported.

Open the authenticator app of your choice and scan the QR code. After you have scanned the QR code, your authenticator app will display a six-digit code which should be entered as seen in the example image here.

Enter the code and click 'Verify'. After you have clicked verify, multi-factor authentication will have been successfully enabled for your account. Once every 30 days, or if your IP address changes, you'll be asked for a 6-digit verification code from the authenticator app:

Password requirements

1. Click on the user icon at the far right side of the navigation bar.
2. Click on "Personal Settings" in the drop-down menu. 
   
3. From the menu on the left side, click on "Security".
   
4. In the next window, enter the old password, then the new one in the second and third boxes.
   

   1. The password must at least:

      Be 10 characters long

      And meet 3 of the following requirements:
      Contain at least 1 uppercase letter
      Contain at least 1 lowercase letter
      Contain at least 1 number
      Contain at least 1 special character
5. Scroll down and click "Save". 

The new password will be stored and will be used the next time logging in.

Occasionally, a user will forget their password, or the platform will expire one that has been active for 90 days or more. This article will explain how users can reset their password.

Resetting your password

1. Navigate to the log in screen and fill out your Username or Email address
   
2. The next screen will prompt you to fill in the password.
   
3. If you have forgotten your password, click the 'Forgot password?' link in the bottom right corner
   
4. The next screen will show the email address you just entered. Click the 'Send' button to send an email that contains a password reset link.
   
5. Check the email address inbox for an email that contains a link. Click the link.

6. Enter a new password, and then again to confirm it. Click "Reset Password".

   The password must at least:

   • Be 10 characters long
   • And meet 3 of the following requirements:
     1. Contain at least 1 uppercase letter
     2. Contain at least 1 lowercase letter
     3. Contain at least 1 number
     4. Contain at least 1 special character
7. Repeat the new password.
8. Click "Back to login" once the new password has been entered.
9. Use your new password to log in to the platform.

A note on password managers

To avoid having to remember your Presspage password at all, we highly recommend the use of a password manager. These have the following benefits:

• They help you auto-generate very strong passwords
• You don't have to remember all your passwords yourself
• Prevent you from using the same password across multiple services, which is insecure

Examples of reputable password managers are Bitwarden, Proton Pass, and 1Password. If your company security policy does not allow you to make use of these password managers, you can also use your browser's internal password manager.

This article explains how to manage users in the Presspage platform, including how to add, edit, and remove users, adjust their roles, and monitor account activity

Different access levels can be granted depending on how each user will be contributing to an account.

User Management dashboard

To access the User Dashboard, click on the user icon at the far right side of the navigation bar. Click "Admin settings" from the drop down menu. You’ll now see the full list of users and related controls.

The Granular Role-Based Permissions are managed under the User Roles tab.

In the User Management dashboard:

• See the total number of users (e.g., "Manage users (XX)").
• Use the Search bar to locate a user by name or email.
• The Unused Seats counter shows how many seats are still available under your plan.

• See when a User was added (Date Created) and last active (Last Active). Use this to identify inactive accounts or audit team activity.

   

Add a user

1. Click the "Add User" button in the "Users" section
   
2. Fill out the form:
   1. First name
   2. Last name

   3. Email address. Will serve as the user name

      Note:

      Ensure that the email address is entered correctly. This is where login credentials are sent.

   4. Select a User Role from: Admin, Manager, or Contributor. Review User Roles and their privileges to make sure the right Role is assigned.
   5. Timezone of where the user is located.
3. Click Save
4. All newly added users need to be assigned an account and/or language. See Manage user role and access permissions for further instructions.
5. The newly created user will receive an email with instructions to complete the account setup. If only one account exists, the new user will automatically be assigned to it.

Manage user role and access permissions

All newly added users need to be assigned an account and/or language. 

To change a user’s role or access permissions:

1. Locate the user in the list.
2. Use the dropdown under User Role to change their access level.
3. Click edit next to their name to adjust their access to the account(s) and/or language(s). 
4. In the Account Access screen. Choose one or more accounts to assign to the new user:
   
   Toggle the switch to on to assign the account to the user. You can also assign individual languages in each account to your user:
   
   1. If a user has been granted the role of Manager (see: User Roles) you can assign more than one client account to that user. Admin users already have access to all client accounts within your account.
5. Once the correct accounts accounts and languages have been assigned to the user, click 'Close'. They now have access to the assigned accounts and languages.

Remove a user

Before removing a user, it is best to make sure that their contact data is replaced with that of a new user, as there might still be pages that display the contact data of this user. The process to do this is explained in the article How to modify Newsroom contacts.

1. Click the red X next to the user that should be removed to delete this user.
   
2. Confirm the prompt to remove the user from the platform. This also includes the Contact details connected to this user which will in turn affect the Contact module.
