Onboarding steps: Email

This guide helps you complete all the milestones needed to get started with Presspage Email.
The implementation specialist is able to assist you with some steps, but most require your action.

Use this article as a checklist to track your progress and ensure you’re fully set up for success.

Onboarding Milestones:

  1. Setup the (custom) email domain
  2. Create email template (header and footer)
  3. Add sender profiles
  4. Customise Email fonts
  5. Upload contact lists
  6. Create Media Database lists (add-on)
  7. Add a subscribe module (Newsroom)
  8. User training
  9. Run tests and send practice emails

1. Setup the (custom) email domain. 

Create a dedicated mail subdomain (e.g. @mail.yourcompany.com) in your DNS settings and configure the DNS records provided in Presspage so emails can be sent and authenticated through this subdomain. This setup ensures your emails are properly delivered, protects your company's main domain’s reputation, and prevents messages from being flagged as spam.

2. Create an email template

Design a branded email template using the Email Template Editor. Have at least one ready-to-use, branded template before sending your first campaign. Customize the header and footer with your logo, colors, and links. You can create multiple templates for different campaigns or audiences.

3. Add sender profiles 

Before you can send any emails, you need at least one sender. A sender includes a sending name, email address and reply to email. Create multiple senders for different departments or campaigns.
If you are using a custom email domain, you can complete this step after the domain has been set up.

4. Customize Email fonts

Go to Email Fonts Settings and select a Google Font, size, and color that match your brand style. All your campaigns will look professional and consistent across devices.

5. Upload contact lists

Upload your contact lists manually or by importing a CSV file.
Presspage Email needs a contact audience before you can send campaigns.

Make sure to:

  • Format your file correctly using CSV guidelines
  • Include consented contacts only

6. Create Media Database lists

If you have the Global Media Database (add on), search for journalists, outlets, or influencers relevant to your stories. Build targeted lists to expand your media outreach.

7. Add a Subscriptions module (Newsroom)

Add a Subscriptions Module to your (Presspage hosted) newsroom so visitors can easily sign up for your email updates. This helps you grow your audience and keep stakeholders informed

8. User training 

Take advantage of available tutorials or join a live training webinar to learn how to create and send campaigns. By following these steps, you’ll be able to confidently build and send campaigns that promote your newsroom content directly to your audience.

9. Run tests and send practice emails

Finally, before your first real campaign verify that everything looks and works perfectly:

  • Send test emails to yourself and colleagues
  • Review on mobile and desktop
  • Check links, images, and personalization

Once you’ve completed all steps, you’re ready to start sending official email campaigns!
