Get Started with multiple Accounts and Languages

If you manage multiple accounts, newsrooms, or languages, the platform offers several features to help you organize content, and communications across those efficiently.

This article highlights all the key features for multilingual and multi-account management.

Account

Users' Language and Account access (admin only)

Administrators can assign account and/or language access to each user. This ensures team members only see and edit the content relevant to their region or language.

Navigating between Accounts

If you have access to multiple Presspage accounts, you can easily switch between them from the main navigation. Click on the account name from the top left and select the account you need to work in.

Newsroom

Add a Language (on Homepage, Pages, or the Media Library)

Create *multilingual Pages to make your content available in multiple languages. Each translation is linked to the same article, and visitors can switch languages using the language selector.

On Pages, you can choose to apply automated Google translations or manually replace the copied text with your own localized version.

Tip: For efficiency, add new languages after completing the original Article, Homepage, or Media library setup. The platform will automatically copy the full page — including text, modules, (sub)categories, and structure — into the new language.

Publishing multilingual Newsrooms or Pages

All multilingual Newsrooms or Pages can be published from one central publish options screen. Every added language is visible. You may publish Pages one by one or apply mass publish to publish all languages with one click.

Push content to other Accounts (add on: Multipublish)

Use Multipublish to push an article or page to other accounts.
This is ideal for organizations managing multiple regional or brand newsrooms that share announcements.

Pages with a confidential status will keep their status when pushed to other accounts. The Embargo status does not get pushed to other account(s).

Manage multimedia Assets per Language

The Asset manager allows you to organize and control assets by Language, ensuring each newsroom or article uses the correct localized files and media.
You can adjust the Language access of individual assets under the options (gearwheel icon).

When uploading new assets, availability is determined by the user’s access rights:

  • Administrators: uploaded assets are automatically available in all languages within an account.
  • Managers/contributor: uploaded assets are available only in the languages within an account assigned to their user profile.

Copy Image galleries and Videos to other languages

When working in multiple languages within an account, you can mass copy Image galleries and Videos from one language version to another. This saves time and ensures consistent visuals across localised articles.

Tags manager

When creating and managing tags in the tags manager, you can choose a Language. This automatically links the newsroom tags to the corresponding newsroom, ensuring a localized tagging structure.

Email

Campaign Language

When creating a new campaign, start by selecting the Campaign’s Language. This automatically links the campaign to the corresponding newsroom and contacts, ensuring localized distribution.

Contacts

Contacts' Language and Account access

Each contact can be shared with one or multiple accounts and languages. Adding new contacts or updating existing contact details will immediately reflect in the corresponding languages and/or accounts. Saving time and decreasing risks of errors.

(Media Database) Lists' Language and Account access

(Media Database, MD) Lists can be shared across accounts and languages. Adding new lists or updating existing lists will immediately reflect in the corresponding languages and/or accounts. Saving time and decreasing risks of errors.

Access to MD lists is based on user level. If users do not have access to the MD, they cannot view, edit, or send campaigns to those lists.

Inquiries

Inquiries supports access by language, so teams only see and manage submissions that match their assigned language(s).
