Get Started with the Media Asset Library

This guide will help you set up and maintain the Media Library. Each section below outlines key concepts and contains links to other articles in case you need more details.

Introduction: Media Asset Library

The Asset Media Library is a dedicated newsroom page where uploaded images, videos, and documents are displayed. It is designed to help users efficiently organize and access media assets. The library categorizes media by type (image, video, and documents) using tabs at the top of the page and further organizes content through categories and subcategories, which are visible on the left-hand side of the interface. The Media Library also has the same properties as a custom page and will not become visible once published.

Step 1: Setup Library Settings

Go to Newsroom in the top menu and select Pages from the drop-down. On the Pages dashboard click Media Library (towards the bottom of Pages) to edit the page and add (sub)categories. 

In the Media Library Settings you can update and add the title, subtitle, and/or a textblock. The Media Library has its own specific layout with the tabs and (sub)categories, therefore it is not required to fill out the content for this page except the title.

Step 2: Add Categories and Subcategories

Navigate to the Category manager in the left menu to create new categories. Click the Add category button, then enter a category title. By default, this title becomes the tag name (A)

To add a subcategory, click the drop-down icon (B) under an existing category. Click the Add subcategory button to create subcategories. Fill out a title. Also, ensure each subcategory has a tag, as subcategories without a tag will not be activated (C). Rearrange (sub)categories by dragging and dropping with them into your preferred order.

Step 3: Add Media Assets

Open the Asset Manager, accessible from any newsroom page via the left menu. In the Asset Manager click the Upload button to upload new assets. You can upload multiple assets at a time. 

Once added, change the title, description of the asset(s) (A). To assign an asset to a category, select the appropriate tag from the drop-down menu in the category column (A). You can add multiple tags per category. Once added, assets will appear in the corresponding category or subcategory.

Exclude Assets from the Library

To hide specific assets from the Media Library, open the Asset Manager, find the asset, and click the cogwheel-icon (B). Check Exclude from Media Library (C) in the options.

Note: If you wish to by default hide newly uploaded assets from the Media Library go to the Accounts settings and to the Advanced section. Here check the Exclude Media Assets from Media Library option.

Go to Asset Manager, Exclude Assets from the Media Library, Exclude all newly uploaded assets from the Media Library for details.

Use cases for the Media Asset Library

There are two main directions to structuring your Media Library effectively. By implementing one or both of these strategies, you can optimize your Media Library to serve both media relations and internal teams effectively. 

Media Kit for Self-Service 

Organize pre-approved stock images into clearly defined categories. Provide media relations professionals with easy access to the assets they need without requiring additional approvals.

Enhance efficiency by ensuring commonly used media assets are readily available. If you wish to, by default, hide all newly uploaded assets from the Media Library go to the Accounts settings (A) and to the Advanced (B) section. Check the Exclude Media Assets from Media Library (C) option here.

Media Asset Archive

Use the Media Library as a central repository for all uploaded media assets. Store media from articles, events, and other sources, making them accessible whenever needed. Maintain a combination of stock assets and archived materials for a complete media database.
