Inquiries Settings

This article explains everything you can do in the Inquiries Settings. Here you can set up an Inquiry address, to streamline the intake of your Inquiries; create localised Inquiry addresses for additional languages; enable outbound messaging and AI writing assistance; and add personalisation.

Set up an Inquiry Email Address

Administrators can configure an Inquiry address in the Inquiries settings. Any Inquiry sent to this address will automatically be converted into a new Inquiry, with the sender’s email added as a contact. To simplify the intake process use the inquiry address in the different channels to centralise incoming inquiries into one system. To set up an Inquiry Email address:

  1. Select Settings from the sidebar and choose the Email Set-Up tab

  2. In case you already have a default Inquiry address set up, continue to the next step. If you see the below image after entering Email Set-Up, select Start Email Set-up to set up the default Inquiry address

  3. The platform will autogenerate an Inquiry address with the a inquiry-desk.com domain. Use the settings to setup a (personalised) Inquiry address: 
    • Inquiry address field 'media' 
    • Inquiry address field subdomain - Choose your own Inquiry subdomain. 
    • Assign default assignee - Select a user which will always receive a notification with every new incoming Inquiry.
  4. Once ready, click Create email address to confirm the settings. 

    The address can be edited at a later time.

Set up localised Inquiry addresses 

If your account contains more than one *language, you can create Inquiry addresses for each language: 

*The languages you have access to, per your contract with Presspage. Not the spoken language of the media contact

  1. In the Email Set-Up tab, select Create language-specific address
  2. Fill out the form:
    • Add Language specific address - Choose a localised Inquiry address  
    • Assign languages - Assign the Inquiry address to one or more languages. 
    • Assign default assignee - Select a user which will always receive a notification with every new incoming Inquiry.
  3. Once ready select Create address and the localised Inquiry address will be added. 

    The additional address(es) can be edited at a later time.

Enable Inquiry outbound messaging and AI assistance

  1. Go to the General Settings tab
    • Outbound messaging - If you use the Inquiries product only to log and receive Inquiries, you can disable the  Outbound messaging checkbox.
    • AI Settings - Enable / disable AI support when writing messages by checking AI functionality enabled.
  2. To disable Outbound Messaging and AI assisted writing. Uncheck either of the options in the General Settings.

Set up a Sender Name

If you have opted to reply to Inquiries from the platform, personalise the message by setting up a Sender Name. Each user can choose their own sender name.

  1. Choose the User settings tab. 
  2. Under Sender name, submit the name the user wishes to use when replying to Inquiries.
