Overview of publish options

Articles start as drafts with the status Unpublished. You can adjust the publish status to control when the article appears in the newsroom.

Publish options include:

  • Publish now
  • Schedule a future date
  • Backdate (Schedule status)
  • Unpublish
  • Schedule the unpublish date

Publish now

Select this option to publish the article immediately.
The article becomes visible in the newsroom and displays the current date and time as its publish date. You can update the date at any time by selecting Edit.

Backdate an article

Select Schedule and choose a past date when you want the article to appear as previously published.
Backdating is useful for migrated or historical content.
The article's page status is set to published and becomes visible immediately, but shows the selected past date. You can update the date at any time by selecting Edit.

Unpublish an article

Unpublishing returns the article to draft. It is no longer visible in the newsroom, and any assets linked to the article are unpublished as well. The article stays listed in the pages overview, so you can edit or republish it at any time.

To unpublish an article:

  1. Open the article.
  2. Go to the publish options.
  3. Select Unpublished as the publish status.
  4. Save the article.

The article is removed from the newsroom as soon as you save. If your newsroom has multiple languages, this only unpublishes the language version you have open.

Archive an article

To take an article offline while keeping it separate from your drafts and available for reference, archive it instead. Archived articles are unpublished and moved to their own section at the bottom of the pages overview.

Go to How to archive one or more articles for more details.

Schedule an unpublish date

If you already know when an article should come offline, you can schedule an automatic unpublish date. This option is only available after the Page has been published.

Steps to schedule an unpublish date:

  1. Open the article.
  2. Go to the publish options.
  3. Select the kebab icon (three vertical dots).

Managing the publish status for multiple languages

If your newsroom includes multiple languages, each language version appears as a separate row in the pages overview. Each version has its own publish status, so you can publish every language individually for it to appear in that language on the newsroom.

Alternatively, you can update the publish status several languages at once using Bulk publish actions.
