Asset Manager

The Asset manager is the central library for all media assets uploaded to an account. It stores images, videos, documents, audio files, and stock images that can be reused across the platform and displayed in the Media library or on landing pages. This article explains how the Asset manager is structured and how to upload, find, edit, and manage your assets.

Accessing the Asset manager

The Asset manager is available from the left navigation in the Newsroom. It can also be opened when adding assets in supported Newsroom modules such as featured images, banners, and multimedia modules.

Filtering and searching assets

  • The Asset manager provides several options to help locate assets quickly:
    • Language selector to filter assets by language
    • Search field to find assets by title or description
    • Asset type filter to switch between the media types, or to access the stock images selection screen.
      Available asset types include:
      • Images
      • Videos
      • Documents & other

List and thumbnail view

The Assets are displayed in either a list view or a thumbnail view, depending on how the asset manager is accessed.

List view

When accessing the Asset Manager via the left menu it opens in the List view. 
Each row represents a single asset and includes a selection checkbox, thumbnail preview, title, description, category, and settings (gear) icon. In the list view you can make adjustments to an individual asset, or you can select multiple assets and use the mass edit options.

Thumbnail view

When the Asset manager is opened from a Newsroom module using the Select assets button, it opens in a thumbnail view for easy browsing and selection. You can switch between list and thumbnail view at any time by clicking the thumbnail / list view button.

Uploading assets

The Asset manager allows you to upload images, audio files, PDF files, and other documents to the platform. Uploaded assets are stored once and can be reused across the platform.

Note:

When assets are uploaded via a Newsroom module in a Page the assets will not be visible in the media library until the Page has been published. 

Images or documents

Accepted formats: gif, jpg, jpeg, png, tif, tiff, webp, ai, doc(x), eps, ics, pdf, ppt(x), psd, rar, rtf, swf, txt, xls(x), zip.

For best results, use the highest resolution possible.  The maximum file size is 800 MB. For images that will appear in full-width Carousel or Featured Article modules, the image should be at least 1200px wide to avoid a blurry or grainy appearance.

  • Select Upload in the Asset manager. 
  • In the Upload items screen select Upload items and choose one or more files from your device.
  • The files are uploaded and become available in the Asset manager immediately.

Upload assets using a direct link

  • Select Upload via URL.
  • Paste the direct URL of the file
  • Select Upload via URL to add the asset to the Asset manager.

Embed video or audio

Accepted formats: avi, flv, mov, mpg, mpeg, qt, wmv, *.mp4, mp3, wav, wma

It is recommended to upload your video file to a hosting site such as YouTube, Vimeo, or Dailymotion to get the most quality and codec support. The valid URL or embed code can then be used to add the video to the platform.


*Only accepted format for uploaded videos. Be sure that the file is in H.264 codec.

  • Select Upload in the Asset manager
  • Optional: Videos are added to the platform through the Asset manager using the Videos tab. 
  • Add a video by pasting a video URL or embed code into the URL / embed code field.

Upload video or audio 

  • Select Upload video file  
  • Choose one or more files from your device

After adding the video URL, embed code, or file, select Save to store the video in the Asset manager.

Adding stock images

The Asset manager includes a Shutterstock integration that allows users to add stock images directly to their account. Stock images added this way are stored in the Asset manager and can be reused like other assets across articles, pages, and modules.

Note:

Each account can download up to three stock images per month at no additional cost. Additional downloads are subject to a surcharge.

  • Use the media type dropdown in the Asset manager to switch from uploaded assets to Stock Images.
  • Stock images can be searched by keyword using the search field at the top of the Asset manager.
  • Search results are displayed directly in the Asset manager. Preview thumbnails help you assess whether an image fits your content.
  • Select a stock image to open the preview view.
  • Click Get image to add the image to the Asset manager.

Asset detail view, asset page, title, description and category

Detail view

Selecting an asset thumbnail in the list view opens the asset details. From this view, you can review asset information, download the file, and copy asset links.
Available options include:

  • Downloading the asset in low or high (original file size) resolution.
  • A direct link to the asset, which can be copied and used to share assets externally or reference them outside the platform.
  • An asset page link, which allows the asset to be displayed on branded pages including the title, description, file name, file size, and download options. Assets added to the Email campaign link to the asset page.

Asset title, description, category

Asset details can be edited directly from the list view.

  • Title. Meta data and visible as a caption on images and videos, or a hyperlinked text in the Download module.
  • Description. Meta data and visible as a caption on images and videos.
  • Category. Add assets to the (sub)categories created in the Media Library.

Deleting and mass edit assets

Assets can be deleted or mass edited by selecting one or more items in the Asset manager. 

To delete the selected asset(s), click the Delete button. Deleting an asset removes it from the asset manager and from any page, article, or module where the asset is used. 

Alternatively, remove assets only from the media library but keep them in the used pages, articles, or newsroom modules via the Exclude from media library option in the Asset settings.

Mass editing is useful when managing large libraries or applying changes to multiple assets at once. The available mass edit options can be found behind the gear icons next to the column titles:

  • Edit titles  
  • Edit descriptions
  • Edit Media Library (sub)categories 
  • Settings: 
    • Exclude/include from media library
    • Copy data to other languages within the account. 
  • Add Copyright text overlay (gear icon next to the delete button)

Asset settings

Individual asset settings are accessed using the gear icon to the right of the (sub)categories column.

The available settings include:

  • Eye icon. Visibility indicator to show whether an asset is visible on Pages or in the Media Library with an explanation why.
  • Force publish button. Make an asset visible in the Media Library when it is added directly to a draft page.
  • Language. Select in which languages in the account the asset is accessible. 
  • Copy data to all available languages. Copy the title and description to the other languages.
  • Exclude from Media Library. Controls whether the asset is visible in the Media Library for visitors, while keeping it visible on any pages, articles, or modules where it is used.
  • Show original image in preview. Only works in combination with the option Edit image thumbnail. Check this to show the original image size in the preview instead of the cropped version.
Asset settings

 

  • Copyright. Add a copyright text overlay to images.
  • Edit Thumbnails. Manually select the thumbnail an image or uploaded video appears with across the platform.
    • Image
      • Click edit to open the Create new thumbnail window
      • Drag the selection frame to reposition the crop area, or select an aspect ratio from the Aspect ratio dropdown and drag it to the preferred location. 
      • Select Crop image to preview the thumbnail or reset image to undo all changes and return to the original image. 
      • In the preview select Save to save the adjusted thumbnail or change selection to reselect the focus.

  • Uploaded video
    • Click edit to open the Create new thumbnail window
    • Drag the dot on the progression bar to the preferred frame in the video
    • Click Save thumbnail to save the adjusted thumbnail 
    • Processing the thumbnail may take a few moments, during which you will see a message that the thumbnail is being processed.

  • Replace file. Replace the existing asset in the asset manager, Pages and Newsroom modules it has been used.
