Can contact lists be shared?

It's possible to share contact lists between different languages in the same account, between different accounts, and even between different languages in different accounts, as long as they fall under the same Holding. This can be very useful for customers that manage multiple brands, and makes it possible to send email campaigns from multiple accounts to the same distribution lists.

Lists can be shared either upon creation:

or for existing lists by clicking on the list in the list overview, and then 'Manage Settings' in the top right corner:

Click 'Edit' and acknowledge the warning that sharing a list with other accounts will make these contacts available to all users that have access to this list.

It's not yet possible to share a contact list during a CSV import; you will first need to complete the import before you can start sharing the list with other accounts or languages.

There are some important things to be aware of when sharing a list:

  • If you share a contact list between different accounts, multiple users can edit this list without being aware of each other's activity. We make this possible on purpose, but be aware that this makes communication between different teams very important.

  • Having access to a contact list means you can see all contacts in the list even if the contacts themselves are not available to a language or account.
    Example: suppose an Admin creates a list with contacts from Account A (German language) and from Account B (French language). The Admin shares the list with Account C, where a Manager who only has access to the English language views the list. Despite this Manager not having access to Account A or B, or the German or French language, they will still be able to see the list and its contents.

  • However, if you don't have access to these language or accounts, you will not be able to view the contact details or edit the contacts, they will show 'greyed out'. In that case, the contacts will also not be visible outside of the list; for example in the regular contact overview. These contacts will still be used in sending out a campaign if you add the list to the recipients.

  • A contact might be an internal contact in Account A, and a duplicated Media Database contact in Account B. In that case, the contact will show as 'greyed out' in Account B.

  • The 'Restricted Access' settings have priority over anything else. If you have restricted access to Mike only, and you share the list with Company C, Mike will still be the only person able to access the list. Way to go, Mike.

  • Unsubscribing contacts works on account-level. If you have a list shared between Account A and Account B, you send out a campaign from Account B and a recipient unsubscribes, this unsubscribe event will only apply to Account B. The same recipient may still receive campaigns sent from Account A.
