Email Subscriptions

The Subscriptions module allows visitors to join one or more email distribution lists directly from your newsroom. The module is designed to support GDPR compliance by enabling explicit consent and confirmation steps. After signing up, subscribers receive a confirmation email to verify their email address before being added to your distribution list.

The module works exclusively with the Contacts and Email products within the platform and cannot be connected to an external CRM or mailing tool.

Adding a Subscriptions module

  1. Open the Newsroom dropdown and select Homepage, or go to Pages to open a specific page.

  2. In the sidebar, open the Interactive tab and select Subscriptions.

  3. Click the green Add Module button.

  4. Configure the Subscriptions details:
  • Title - Enter a title for the Subscriptions module. Select Show title on this Page to display the title on the page

  • Add Subscriber to lists - From the dropdown menu, choose which distribution list or lists subscribers will be added to after confirming their subscription

  • Enable list selection by subscriber - Enable Enable list selection by subscriber if you want visitors to select which lists they subscribe to.

  • Adding Subscription Fields - The Email address field is always required. You can add additional fields and make them optional or mandatory:
    • First name
    • Last name
    • Organization
    • Job title (Job title field can only be selected if Organization is added)
    • Phone number
    • Country

  1. Note:

    • The filled out first name and last name will overwrite the existing settings in the CRM if the contact already existed there. 
    • The phone number and organization will not be overwritten but added to the existing details.

Customize Confirmation and Error Messages

Edit the system messages shown to visitors under Translations.

  • Confirmation message - The confirmation message appears after a successful subscription request.

  • Failed Message - The failed message appears if the subscription cannot be completed. For example, if the email address is already subscribed.

Customising verification emails

After submitting the subscription form, visitors receive a confirmation email to verify their email address. This double opt in process supports GDPR requirements by ensuring clear consent and validating that the email address belongs to the subscriber.

You can edit the content of this verification email by clicking Edit the Confirmation Email at the bottom of the screen, just above the Save button. 

Require Agreement to Terms and Conditions

Enable the Agreement checkbox, if subscribers must accept Terms and Conditions before subscribing. For example, for compliance and data privacy requirements.

  1. Enable Enable agreement checkbox.

  2. Add your Terms and Conditions text. 
  3. Configure the error message shown if the checkbox is not selected.

Enable Subscription Notifications (Premium and Enterprise)

Users on Premium and Enterprise plans can receive email notifications when someone subscribes.

  1. Add one or more email addresses. Separate multiple addresses with a comma. 
  2. Click Save.
