Embargo an article

This article shows how to password protect an article that is under Embargo. There are two versions available of the Embargo function, Basic and Advanced. The advanced version is available for customers on the Enterprise plan. Basic Embargo is available for the other plans.

Enabling Advanced embargo

The Advanced Embargo feature allows to restrict access to a Page and share it only with selected contacts via invitation email.

How Advanced embargo works for the visitors and recipients

A page under embargo:

  • Cannot be accessed via a direct link without a validated email address and password.
  • Is not included in these areas in the Newsroom:
    • Newsroom modules
      • Search
      • Sitemap
      • RSS feeds
  • Put on no-index to prevent web crawlers from scanning the page.

Login Steps

  1. Contacts added to the Embargo list will receive an email in their inbox with an invitation and a link to a login page.

  2. Invited users will need to enter their email address to receive an email with a one-time password to gain access. 
  3. The contact fills in the password on the login page and clicks Submit.

  1. After submission, the embargoed page will open for them.

FAQ - Recipients do not receive the embargo invitation or password email

  • Check that the email address is correctly added to the embargo list. 
  • Ask the recipient to check their spam folder.
  • Confirm the password email was sent from the editor and that the contact entered the correct email address on the login page.

Accessing and enabling Advanced embargo 

  1. Go to Pages:

  2. Add a page, or select an already created draft or published article.

  3. Scroll down to "Publish Options" on the left side column

  4. Find the Embargo option the top of the Publish Options page. Check the Embargo to activate the embargo feature.

Adding embargo recipients

  1. Click Add Embargo 
  2. Click Add Contacts and choose individual contacts or lists

  3. In the drop-down menu, search for and select individual contacts or lists you want to give access to the embargoed page
  4. The selected contacts and lists will appear under Added Embargos

Creating and customizing the embargo Invitation email

  1. Select Create Email Invitation to open the email editor.
  2. Review and edit the default invitation email in the editor:
    • Subject line 
    • Text message 
    • Email template - Select an email template. Email templates can be created and managed via the Email template editor.
    • Sender information - Select the sender. Senders can be created and managed via the Email Settings.
  3. Click Preview the email for final review.
  4. When ready, click Send email.

Now the embargoed Page has been shared with the recipients via email. With the verification email they can receive a one-time password to login and view the Page.

Enabling Basic Embargo

Customers on the other plans have access to the basic embargo functionality. Basic embargo includes a username and password which can be manually set up once. This security wall will appear for any visitor when opening the page.

Steps

  1. On the Publish Options screen scroll to the Extra Options. Here you see the Embargo option
  2. Check the Embargo option

  3. Fill out the Username and Password field and click Save. This information needs to be shared with anyone who should have access to the page, so be sure to note it down.

  4. Visitors to the page will now be prompted to enter the Username and Password before the published article can be viewed:

  5. To remove the embargo, uncheck the box next to "Embargo".
