NEW Media Asset Manager

The Presspage Asset Manager is the central library for all media assets uploaded to your account. It stores and organizes images, videos, documents, audio files, and stock images that can be reused across pages, articles, and other modules.

This article explains how to access the Asset Manager, organize assets into folders, upload and manage assets, and use the asset detail page to view, edit, or delete an individual asset.

Accessing the Asset Manager

The Asset Manager can be accessed in two ways:

  • From the left-hand navigation in the Newsroom, select Asset Manager.
  • From a supported Newsroom module (such as a featured image, banner, or multimedia module) when adding assets.

Uploading assets

The Asset Manager lets you upload images, documents, audio, and video files directly from your computer, or add video and audio content using an embed link. Uploaded and embedded assets are stored once and can be reused across the entire platform.

Note: When assets are uploaded via a Newsroom module in a page, they won't be visible in the Media Library until the page has been published.

Uploading files from your computer

Accepted formats: gif, jpg, jpeg, png, tif, tiff, webp, ai, doc(x), eps, ics, pdf, ppt(x), psd, rar, rtf, swf, txt, xls(x), zip. mp4 is the only accepted format for uploaded video files and must use the H.264 codec.

Best practices:

  • Use the highest resolution possible.
  • Maximum file size: 800 MB.
  • For full-width Carousel or Featured Article modules, images should be at least 1200 px wide to avoid blurriness.
  1. Select Upload Files.
  2. Select Upload from computer.
  3. Choose one or more files from your device.
  4. Select Save. 

The assets are uploaded and become available immediately.

Uploading via embed link

Use an embed link to add video or audio content hosted elsewhere, such as YouTube, Vimeo, Dailymotion, or SoundCloud, or to add a file using a direct URL.

  1. Select Upload Files.
  2. Select Upload from embed link.
  3. Paste the link in the Add Embed link field.
  4. Select Add.

Adding stock images

The Asset Manager includes an integrated Shutterstock library, allowing you to add stock images directly to your account without leaving the platform. These images are stored in the Asset Manager and can be reused like any other asset.

Note: Each account can download up to three stock images per month at no additional cost. Additional downloads may incur a surcharge. Select Terms of Use at the bottom of the window to view Shutterstock's licensing terms.

  1. Use the media type dropdown to switch to Stock images.
  2. Search by keyword using the search field.
  3. Select an image to select it. The thumbnail is highlighted and Get Image becomes available.
  4. Select the image again to open a larger preview with its full description.
  5. Select Get Image.
  6. In the Confirm stock image purchase window, select Purchase image.

The image is added to the Asset Manager. This window also shows how many free images remain for the month.

Organizing assets with folders

Folders let you group related assets so they're easier to find. Folders control where an asset is stored; categories still describe what an asset is about, and both can be used together.

Creating a folder

  1. In the Folders section of the side menu, select Add folder.
  2. Enter a name for the folder.
  3. To nest the new folder inside another, select Make subfolder of and choose the parent folder.
  4. Select Create folder.

Ordering the folders

Folders in the Asset manager can be dragged and dropped in the preferred order, or move into or out of other folders.

Renaming or deleting a folder

Right-click a folder in the side menu to:

  • Edit folder – rename the folder.
  • Delete Asset Folder – permanently remove the folder and its subfolders.

Note: Deleting a folder does not delete its assets. They remain available in All Assets.

Moving assets into a folder

  1. In the Asset Manager, select one or more assets.
  2. Select Move.
  3. Choose Move to Folder and select the destination folder, or choose Remove from Folder to take the assets out of their current folder.
  4. Select Move.

Filtering, searching, and browsing assets

The Asset Manager provides several options to help locate assets quickly:

  • Language selector – filter assets by language.
  • Media type dropdown – switch between Images, Videos, Audio, Documents and other, and Stock images.
  • Search field – find assets by title or description.
  • Folders – select a folder in the side menu to browse only the assets stored there, and use the breadcrumb above the list to navigate back to All Assets.

Filtering assets by language

For accounts with multiple newsroom languages, the language selector at the top of the Asset Manager shows the assets available in the selected language, based on each asset's Language access setting. The same asset can be available in more than one language, or only in one. Folders stay the same across languages, but an asset's title, description, and category can differ per language, unless Copy data to all languages was used to keep them in sync. Switching between list and thumbnail views

Assets are displayed in either a list view or a thumbnail view. Switch between list and thumbnail view at any time using the view icons above the asset list.

List view

  • Default view when opening the Asset Manager from the side menu.
  • Each row shows a selection checkbox, thumbnail, and editable Title, Description, and Category fields.
  • Supports individual edits or bulk selection for mass editing.

Optimized for visual browsing, with a Sort by option (for example, Recently created).

Paging through assets

Below the asset list, use the Per page dropdown (10, 25, 50, or 100) to set how many assets are shown on a page, and use the navigation arrows to move between pages.

Editing asset details in list view

Update an asset's title, description, and category directly from the list view, without opening the asset detail page.

  • Title – shown as a caption on images and videos, and as linked text in Download modules.
  • Description – shown as a caption on images and videos.
  • Category – assigns the asset to Media Library categories or subcategories.

Select Save to apply your changes.

Deleting and mass editing assets

Select multiple assets in the list to reveal a toolbar with Move, Delete assets, and More actions.

Moving assets

Select Move to move the selected assets into a folder, or remove them from their current folder. See Moving assets into a folder for the full steps.

Deleting assets

Select one or more assets, then select Delete assets.
Deleting an asset removes it from:

  • The Asset Manager
  • Any page, article, or module where it is used

Note: To keep an asset in use elsewhere but hide it from the Media Library, use Exclude from Media Library instead of deleting it.

Using More actions

Select More actions for additional bulk options:

Media Library

  • Include in Media Library – makes the selected assets visible in the Media Library.
  • Exclude from Media Library – hides the selected assets from the Media Library while keeping them active where they're used.

Language access

  • Copy data to all languages – copies the title and description across languages.

Text

  • Edit title – update the title for all selected assets at once.
  • Edit description – update the description for all selected assets at once.
  • Edit category - add a category for all selected assets at once.

Managing an asset from the asset detail page

Open an asset on its own page to view a larger preview and manage its full set of details in one place.

Opening the asset detail page

In both list view and thumbnail view, the asset detail page can be opened by:

  • Selecting the asset's thumbnail.
  • Selecting the pencil icon in the top right corner of the thumbnail.

The asset opens on its own page, showing a larger preview alongside its details.

Editing asset details

The asset detail page includes the following fields:

  • Asset name (title) – shown as a caption on images and videos, and as linked text in Download modules.
  • Description – shown as a caption on images and videos.
  • Categories – assigns the asset to Media Library categories or subcategories.
  • Folder – assign or change which folder the asset belongs to.
  • Language access – choose which languages the asset is available in.
  • Copy data to all languages – copies the title and description across languages.
  • Exclude from Media Library – hides the asset from the Media Library while keeping it active where it's used. When checked, the status label at the top of the page changes from Visible in Media Library to. Not visible in Media Library, with a tooltip explaining why.
  • Show original image in preview – shows the original image size in the preview instead of the cropped version.
  • Copyright – sets a copyright notice for this specific asset.

Select Save to apply your changes.

Note: If Copyright is left blank, the account-level copyright fallback is used instead. See Setting a copyright fallback.

Cropping the thumbnail

  1. Select Crop image.
  2. In the Create new thumbnail window, choose an Aspect ratio.
  3. Drag the selection area over the part of the image to use as the thumbnail.
  4. Select Crop image to preview the result.
  5. Select Save thumbnail to confirm, Reset image to undo your selection and start over, or Change selection to go back and adjust the crop.

Replacing the file

Select Replace image to upload a new file in place of the current one, the same way as uploading a new asset: choose a file from your computer, add a video, or upload via URL. This is only available for files that were uploaded directly, such as images, documents, or uploaded video files, and isn't available for embedded videos. Overwriting a file this way cannot be undone.

  1. Select Replace image.
  2. Select Upload items or Add video, or use Upload via URL, to choose the replacement file.
  3. Select Confirm to complete the replacement.

Sharing an asset

Select Share to open the sharing options:

  • Asset page – a link to the branded asset landing page including meta information and asset dimensions. Select the copy icon to copy it.
  • Direct link – a direct link to the file itself. Select the copy icon to copy it.
  • Download asset – downloads the file to your device.

Deleting an asset

Select the menu icon at the top of the page, then Delete asset, to permanently delete the asset.

Setting a copyright fallback

Set a default copyright notice to use for any image that doesn't have its own copyright text.

  1. In the Asset Manager, select Settings.
  2. Enter your default text in the Copyright field.
  3. Select Save.
