Set up Inquiries and Integrations (video)

Learn how to set up and manage Inquiry addresses in Presspage. Welcome! In this tutorial, we'll walk you through how to get started with Inquiries. We'll cover the setup, management, tracking, and best practices to help you streamline your inquiry management.

Inquiries allow you to manage, track, and respond to customer or media inquiries in one centralized location. It helps your team stay organized, collaborate efficiently, and ensures no inquiry goes unanswered.

Now, let's dive in.

00:36 Create an Inquiry address (Administrators only)

To complete the initial setup of the Inquiries account, you need to be an administrator — or reach out to one to assist with the setup.  

To start, go to the Inquiries section from the top menu.

Click on Settings to create a dedicated Inquiry email address.  

If it's your first time, click the Start Email Setup button, and then Create Email Address to finalize the creation of the Inquiry address.

Any messages sent to this email address will automatically be added as inquiries.

01:13 Edit Inquiry address and assign default assignee

Once the default Inquiry address has been set up, you can make a few edits.

In the Inquiry address form, you can change the existing address. Here, you can also assign a default assignee.  

This ensures that every new inquiry is automatically assigned to a specific team member and no inquiry goes unaddressed.

If your account supports multiple languages, you can create language-specific Inquiry addresses.

You can also assign a different default assignee for each language, ensuring that each inquiry is directed appropriately.

To ensure inquiries appear professional, each user can set up their preferred **Sender Name** in their user settings.  

This allows for personalized communication when responding to inquiries.

You can connect your inquiries to the Email or Newsroom products, or to your own email inbox. Let's explore some options.

To set up an email integration, go to the Email section and find the Settings.  

Add the Inquiry address to the Reply-to field so that all replies to your email campaigns are captured as inquiries.

02:35 Collecting inquiries from the Newsroom with Inquiries or Form Module

Visitors can also submit their questions directly on the Newsroom using the **Inquiries Module** or the Form Module.

To do this, go to the Newsroom product and add one of these modules to the homepage, an article page, or any custom page.

  • The Inquiries Module is a fixed form that automatically logs visitor submissions as inquiries. Submission fields for this module are static and include: Email, First Name, Last Name, Subject or Title, and Message.
  • Alternatively, you can set up a Form Module and connect it to the Inquiry email address. The Form Module offers greater flexibility, allowing you to manually select and modify form fields to better suit your specific needs.

Lastly, if you manage inquiries through a shared company email inbox or another external inbox, you can set up an auto-forwarding rule to forward messages to your Inquiry address.
